Stallholder Requirements
A: Simply fill out our vendor application form on our website. We’ll get back to you once your application is reviewed.
A: We accept food trucks, dessert vendors, drink stalls, and retail/craft stalls. Vendor categories are capped to keep a good mix and avoid to much of the same.
A: Pricing depends on your category (food, dessert, retail, coffee/drinks). Fees are per event.
A: Yes — vendors supply their own gazebos, food trucks, power leads, and stall setups. We can provide power on request (at an additional cost) for certain venues.
A: All food vendors must have a current food licence/registration with their local council and comply with New Zealand food safety standards.
A: Bump-in is from 1:30pm–3:30pm. All vehicles must be off-site by 3:30pm sharp. Bump-out begins once the event closes at 9pm Sunday (10pm Fri/Sat).
A: Payment can be made before the event via invoice. Fees are due minimum 14 days before the event.
A: No — vendors are welcome to trade on whichever days they choose in their Application.
A: Yes — limited power is available at select venues, but you must request it in your application. Please bring tested and tagged leads. If power is provided by us, additional charges will apply.
A: Cancellations made 30 days prior may receive a credit valid for 6 months. Cancellations within 30 days are non-refundable.
A: Credits will be issued for a future event within 6 months.
We keep our policies simple and transparent – found within our Application form and throughout our website.
Cancellation & Payment Policy
By applying for a Bites & Beats Aotearoa event, you agree to the following terms:
1. Payment
All site fees are due 30 days prior to the event.
Bookings are not secured until payment has been received.
No pay-on-the-day options are available (to ensure fairness and planning for all vendors).
2. Cancellations & Credits
30+ days before event: Full credit
15–29 days before event: Credit only transferable to another event within 6 months.
Less than 15 days before event or no-show: No refund or credit.
Council application fees are non-refundable.
3. Non-Payment
Failure to pay by the due date will result in your application being cancelled.
If you attend without payment, this will be treated as a breach of agreement and fees will still be due in full. Legal recovery may be pursued if required.
4. Agreement
By submitting your application, you confirm you have read, understood, and agree to these terms.
Food Stall Requirements – Vendor Checklist
This guide covers everything you need to operate a safe, compliant food stall at our markets.
✅ Essential Stall Requirements
- Current Food Registration Licence (A Grade)
- Gazebo
- Fire blanket (1.8m x 1.8m)
- Fire extinguisher
- First aid kit
- Handwash station
- Rubber floor mats (covering entire stall area)
- LED lighting
- Professional banner/signage
🔌 Electrical Safety
- All equipment must have a current test & tag
- All appliances must carry a recognised NZ safety standard mark
- Only heavy duty, commercial power leads & multiboxes (no double adapters)
- Leads must be the correct length for the site and not used while coiled
- Cables must run neatly along stall edges through safety trays (provided)
- No overhead leads unless specifically for lighting
🔥 Gas Safety
- All gas appliances must carry a recognised NZ safety standard mark
- Hoses must be permanently crimped (no screw-on clamps)
- Gas hoses must be at least 1.5m long
- Gas bottles must be 1m away from heat sources & power distribution boxes
🏗 Stall Set-Up
- Drive slowly with hazards on
- New vendors must follow staff positioning instructions
- Nothing outside your stall area
🕙 Pack-Up
- No vehicles allowed before event closes (or later if customers still present)
- Drive slowly with hazards on when re-entering
🧯 Stall Display Must Show
- Fire extinguisher
- Fire blanket (1.8m x 1.8m)
- First aid kit
- Current food registration licence
🧹 Cleaning & Waste
- Stall area must be left clean each night
- Only event waste goes in bins – no outside rubbish
- All rubbish bagged & tied
- No cardboard left onsite – must be taken home
- All used cooking oil taken home – no dumping onsite
- Wastewater (no oil) must go into the onsite grease trap only
🚫 Conduct Rules
- No smoking/vaping anywhere onsite
- No alcohol or drugs onsite
- No rude, offensive, or disrespectful behaviour
- No pets inside stall areas
